This describes exactly what RoutePlanner stores, why, who can see it and how long we keep it. It is written from the actual database rather than from a template, so if something is listed here the system really does hold it.

Who is responsible for your data
The data controller is შპს „რაუტ პლანერ“ / ROUTE PLANNER LLC, identification number 437377704, registered at საქართველო, ქალაქი თბილისი, ვაკის რაიონი, ავთანდილ ვარაზის ქუჩა N101ა, კორპუსი 2, ბინა 19 / Apt 19, Building 2, 101a Avtandil Varazi St, Vake District, Tbilisi 0183, Georgia. RoutePlanner is the trading name of that company.
Address any request about your data — access, correction, erasure, or a complaint — to info@routeplanner.ge, or in writing to the registered address above.
What we collect from travellers
To take a booking: your name, email address, phone number, the exact pickup and drop-off addresses, your flight number if you give one, how many passengers and bags, whether you need child seats, and any notes you write for the driver.
To run the service: the searches you make, the quotes you were shown, your booking history, messages you exchange with the driver, and reviews you leave.
We do not track your location. Trip milestones are timestamps recorded by the driver, not a live position.
What we collect from drivers
Identity document, driving licence, vehicle registration and insurance, held in restricted storage separate from public photographs. Document numbers are stored only as one-way hashes, never in readable form.
Every time a member of staff opens one of these documents it is recorded in an audit log that cannot be altered or deleted.
Who can see it
Your driver sees what they need to carry out the trip: your name, phone number, meeting details and any requirements. They do not see your other bookings.
Our staff see what their role allows and no more. A support agent can read a booking to help you but cannot approve drivers or move money; only finance staff can issue a refund. Every significant action is recorded with who did it and why.
How long we keep it
Searches and quotes that never became a booking: 30 to 90 days.
Bookings and financial records: as long as Georgian accounting and tax law requires, plus the period in which a dispute could still be raised.
Driver documents: while the driver is active, plus any lawful claims period.
Messages and support conversations: the service and claims period.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it. There is a form for it at /legal/data-request, which puts the request in front of our team with a clock on it; writing to info@routeplanner.ge works too. We will verify who you are before acting, and we may keep records the law requires us to keep.
Georgia's Law on Personal Data Protection applies to us. If you are in the EU or UK, GDPR rights may also apply to you.
Cookies
The cookies the site needs in order to work are set without asking, because without them it does not work: gt_session (your sign-in, if you have an account), gt_currency (the display currency you chose), gt_consent (the answer you gave about the cookies below) and decisions_who (the name you gave on one of our internal decision forms, so your answers are shown back to you). Two more are set for staff only: rp-edit-mode, while a staff member edits page text, and gt_impersonate, while support views a driver's account. Your language is part of the web address, not a cookie.
None of them tracks you. Anything beyond them is stored only if you say yes. We ask on your first visit, in two separate categories — measurement and advertising. Refusing is one button, the same size as accepting, and you can change your mind at any time on the cookie page, where every cookie we set is listed with who sets it and how long it lasts.
Until 20 September 2026 this notice said we used no advertising or tracking cookies and would ask before that changed. This is us asking: measurement and advertising cookies now exist, they are off unless you switch them on, and an earlier answer to the old one-button notice was not treated as consent to them.
On 23 September 2026 Google Analytics moved to what Google calls consent mode, described below: it now runs for every visitor, and stores nothing on your device unless you allow measurement.
Measurement and advertising
Google Analytics runs on every page, in the mode Google calls consent mode. If you allow measurement, it sets its cookies and counts your visit in full: which pages are read and which searches lead to a booking. If you do not, it sets no cookies and stores nothing on your device; it receives only a signal that a page was seen, without any identifier that could recognise you again, and Google uses those signals to estimate totals. Either way it is told about pages, not people: we do not send it your name, your email address or your telephone number, we remove booking codes and access links from the addresses it sees, and we have not switched on its cross-device or demographic features.
If you allow advertising, tags from Google and Meta let us see which advert brought you here and show our advertising to people like you. These are the ones that build a profile, which is exactly why they are a separate question from measurement, why they load only after a yes, and why refusing them changes nothing about your booking.
Advertising measurement (Meta). If you accept advertising cookies, we also send Meta Platforms Ireland Ltd. information about actions you take on our site (starting a checkout, sending an enquiry or completing a booking) directly from our servers ("Conversions API"). With these events we share: the booking value and currency, a booking reference, technical data (IP address, browser type, page address, Meta's cookie identifiers), and your email address and phone number in hashed form (converted into a one-way code that can't be reversed). Meta uses this to measure and improve the performance of our ads. We never send your name, address or trip details. If you decline advertising cookies, none of this is sent. You can change your choice at any time on the cookie page.
If you accept advertising cookies and make a booking, we send a scrambled (hashed) version of your email address and phone number to Google and Meta, so they can tell us which ad led to your booking. They can't read your original details, and we don't use this for anything else.
We also count visits with Cloudflare Web Analytics, run by Cloudflare, Inc., which already delivers this site. It sets no cookies and keeps no identifier; it tells us how many pages were viewed and how quickly they loaded.
Session analytics (Microsoft Clarity). If you accept measurement cookies, we use Microsoft Clarity to understand how visitors use our public pages: where they click, how far they scroll, and where they leave the booking process. Clarity records clicks, mouse movements and scrolling. Form inputs and personal details (names, phone numbers, email addresses and booking details) are hidden before anything leaves your browser, and it never runs on account or staff pages. We use this only to improve our website. Microsoft Corporation processes the data under its own privacy statement. If you decline measurement cookies, Clarity does not run.
Google LLC, Meta Platforms and Cloudflare, Inc. are all in the United States, so data about your visit is processed there under their own terms. Refusing advertising means nothing is sent to Meta at all: the page a visitor who refuses receives does not contain its code.
